Computers and printers go hand in hand.  If you use a computer in a law firm, it goes without saying that you are going to print out files for a client.  You may think it's just a bit of paper and ink, but a fast, reliable printer is a considerable investment.   The cost of paper, toner and maintenance is only going up, too.  It is considered standard practice for firms to charge photocopies back to the client, but did you know it's possible to recoup the cost of printing also? A print cost recovery software system can make printing go from being a high overhead expense to a reimbursable revenue source for the firm.

There are several print cost recovery software packages on the market today.  Generally, they work like this:  when the user goes to print a file, a window will pop up asking for some sort of information (client/matter number, billing code, etc) to be input by the user.  This can be customized based on the firm's needs.  This information is then sent to a central database somewhere on the system.  From the database, varying types of reports can be run and many of the packages can be customized to work with various billing packages on the market.  The software usually can be customized to work only with certain printers in the firm, or with certain types of documents sent to print.  The cost of such a software package will vary.  It usually depends mainly on the number of computers this software will be installed on.

The right type of print cost recovery software for your firm is something that should be investigated carefully to work well within your network environment and billing software.  If you are interested in learning more about this method of recovering print costs, please feel free to us a call at 770-514-0400.
